How to Write an RFQ to Chinese Suppliers
A good RFQ makes supplier replies comparable. Define one product version, ask for separate cost lines and make unknown assumptions visible before you negotiate.
Research note
This guide is educational content for early-stage sourcing research. Supplier, price, MOQ, compliance and delivery details must be confirmed independently. Product2Factory may show demo data or public search leads.
An RFQ is a structured request for information and pricing. It is not a purchase order or a substitute for a contract. The most useful RFQ makes the product, quantity, customization and delivery assumptions specific enough that different supplier responses can be compared.
RFQ fields that prevent ambiguity
- Generic product name and reference image
- Material, dimensions, tolerance, finish and function
- Variants, first-order quantity and future quantity bands
- MOQ by item, color, logo and packaging
- Sample cost, lead time and approval method
- Logo, label, packaging and artwork requirements
- Production lead time and inspection expectations
- Payment beneficiary, shipping basis and excluded fees
A five-step drafting process
- 1
Describe the product
Use generic language and measurable specifications. Attach the reference image separately.
- 2
Separate prices
Ask for product, logo, packaging, tooling, sample, inspection and shipping lines rather than one bundled number.
- 3
Ask for assumptions
Require the supplier to state what is included, excluded, estimated or subject to confirmation.
- 4
Set a response format
Request answers in the same field order so you can compare suppliers without guesswork.
- 5
Confirm before ordering
Match the final RFQ, sample, artwork, quotation and purchase order to one approved product version.
FAQ
Should the RFQ be bilingual?
It can be. Keep both versions aligned and ask the supplier to flag any wording that changes the specification.
Should I share the Amazon URL?
Share only what you are authorized to share. A generic brief and your own reference image can reduce brand and IP confusion.
How many suppliers should receive an RFQ?
Use enough comparable responses to understand the range and constraints, while keeping the product specification and follow-up process manageable.
